Shipping Policy

At G&M Medical Supply, we understand that the timely, secure, and accurate delivery of medical equipment and consumables is critical to your facility’s operations. This Shipping and Delivery Policy outlines our fulfillment protocols, delivery timescales, and the responsibilities of both parties regarding the transit of commercial goods.

Order Processing and Procurement

To ensure your facility receives the most recently manufactured medical consumables with maximum sterile shelf-life, we operate a highly efficient direct-procurement model. Upon receipt of your approved commercial order, goods are sourced directly from our network of trusted manufacturers and primary suppliers.

  • Operating Hours: Our administration and logistics teams in Congleton, Cheshire operate Monday through Friday, excluding UK bank and public holidays.

  • Fulfillment Timelines: Because we consolidate shipments originating from multiple specialized suppliers before dispatching them to your facility, the time required to process and dispatch your order may vary based on external supplier lead times. Your procurement team will be kept informed of the estimated dispatch date upon order confirmation.

  • Order Verification: For new corporate accounts or large volume requisitions, dispatch may be slightly delayed pending commercial credit verification or security checks.

Delivery Options and Transit Times

Once your goods have arrived at our facility from our suppliers and have passed our quality control checks, they are immediately dispatched to you via our commercial logistics network. We offer the following domestic delivery tiers:

  • Free Standard Commercial Delivery: We are pleased to offer Free Standard Delivery on all UK mainland orders exceeding £150 (excluding VAT).

  • Standard Commercial Delivery: For orders under £150 (ex VAT), standard shipping applies. Goods are typically delivered within 3 to 5 business days following dispatch.

  • Express Delivery: For urgent requirements, express shipping is available at checkout. Goods are typically delivered within 1 to 2 business days following dispatch.

  • Pallet and Bulk Freight: For large-scale procurement orders, goods will be palletized and shipped via our specialized freight network. You must ensure your delivery facility has the appropriate infrastructure (e.g., a loading bay or forklift) to receive palletized goods.

Please note: All stated delivery timescales are estimates provided by our logistics partners. While we strive to meet these targets, G&M Medical Supply cannot be held liable for operational delays caused by external carriers, adverse weather, or force majeure events.

Shipping Rates and Surcharges

Shipping and freight charges are calculated dynamically based on the total volumetric weight of your order, the destination address, and the selected delivery tier.

  • All shipping costs will be clearly itemized on your commercial quotation, checkout portal, and final VAT invoice.

  • Remote Postcodes: Deliveries to Northern Ireland, the Scottish Highlands and Islands, the Isle of Man, and the Channel Islands may incur additional commercial freight surcharges and extended transit times. These regions are generally excluded from the £150 free shipping threshold.

  • Specialized Handling: Orders containing temperature-sensitive goods, hazardous materials, or oversized medical equipment may require specialized handling or cold-chain logistics, which will be quoted on a case-by-case basis.

Tracking and Proof of Delivery (POD)

Due to the value and regulated nature of medical supplies, all G&M Medical Supply shipments are fully trackable and require a formalized Proof of Delivery (POD).

Upon dispatch from our Congleton facility, your designated procurement contact will receive an email containing the commercial tracking reference and a link to the carrier’s portal. A signature from an authorized staff member at your facility is strictly required upon receipt of the goods. We will not authorize carriers to leave medical supplies unattended or "in a safe place."

Damages, Shortages, and Missing Goods

In accordance with UK B2B trading standards, the risk of loss passes to your organization upon successful delivery. However, we are committed to resolving transit issues swiftly.

  • Inspection: Your receiving department must carefully inspect all parcels and pallets immediately upon arrival before signing the POD.

  • Reporting Damages: If the external packaging is visibly damaged, you must sign for the goods as "Damaged" with the courier. You must then report the damage, alongside photographic evidence, to hello@gm-med.co.uk within 48 hours of delivery.

  • Shortages: If you suspect items are missing from your consignment, please verify against the enclosed packing slip and contact us within 48 hours so we can investigate our warehouse audit logs and courier records.

Failure to report transit damage or shortages within the 48-hour window may invalidate your claim for replacements or commercial credit.

UK Domestic Supply Only

G&M Medical Supply is strictly dedicated to supplying the UK domestic market. We do not currently offer international shipping, nor do we facilitate export orders to jurisdictions outside of the United Kingdom.
